Creating a Contact File Step by Step

Punctuation inside contact data requires special treatment because commas and semicolons have structural meaning in vCard syntax. The tool escapes those characters, writes Windows-compatible CRLF line endings, and folds long content lines at 75 octets without splitting a multi-byte UTF-8 character. These technical details are easy to miss when creating a VCF file manually and are especially important for long notes and embedded photo data.

vCard 3.0 vs vCard 4.0: Which Version to Pick?

The version selector offers two vCard versions. Here is how they compare:

Choose vCard 3.0 when broad compatibility is the priority. It remains the most common format in phone exports, desktop address books, Outlook workflows, and older contact-management software. Most devices and apps handle vCard 3.0 without issues.

Choose vCard 4.0 for a newer, standards-based file when you know the destination supports it. Version 4.0 represents phone numbers as URI values (tel:+1-555-0142), supports the KIND property for contact type classification, and can carry photos as data URIs instead of raw base64 blocks.

If you are unsure, vCard 3.0 is the practical default. Contact applications do not always display every optional property in the same way, even when the file is technically valid. Create one test file, import it into the target app, verify that labels and the photo render correctly, and then distribute or import the complete file.

One Contact or Several in One File

A VCF file can contain one vCard record or several complete records stacked together. A single-contact VCF is ideal for a downloadable business card, an email attachment, or a customer-support handoff. A multi-contact VCF file is useful for a small team roster, event staff list, vendor directory, family contacts, or a new-device setup package. Each contact is typed into the form, so the builder is practical for a handful to a few dozen people rather than a full CRM export.

Use the Duplicate Contact button when records share an organization, address, or other details, then change only the person-specific fields. Each card receives its own unique ID. If you later have separate VCF exports you need to combine, use the VCF file merger. If repeated imports created duplicate people, clean the file with the VCF duplicate remover before importing it again.

Adding a Contact Photo

Embedding a photo can make a contact easier to recognize in your address book, but the image data increases the file size significantly. Use a reasonably cropped JPEG or PNG and keep it below the tool's 2 MB limit. The contact preview shows the selected image immediately, while the code preview shortens the long photo value for readability. The complete base64 image data is still present in copied and downloaded output.

Some address books resize images during import, and older software may omit photos entirely. That is an application limitation rather than proof that the file is empty. Test the file in the same app your recipient or team will use before distributing it widely.

Importing the File on Your Devices

iPhone and iPad

Send the .vcf file to your iPhone through Mail, Messages, AirDrop, the Files app, or a secure download link. Tap the file, review the displayed contact, and choose Create New Contact or Add to Existing Contact. If the VCF contains multiple contacts, iOS will offer to add all of them.

Android and Google Contacts
